Medicare Rule for Teaching Physicians - Documentation of Physician’s Presence in the Operating Room

This is a reminder that the UMCARE system in effect, July 1, 1996 at JMH and UMH and now OPTIME, effective June 27, 2016 at UMHC/SCCC and BPEI were implemented to assist UM physicians to comply with the Medicare Rule for Teaching Physicians documentation requirements.  By implementing UMCARE or OPTIME in the Operating Rooms (ORs) at JMH, BPEI, UMHC/SCCCC, UMH and other UM facilities, physicians are able to verify their presence during the procedures performed.

In an effort to ensure that physicians, even in case of an emergency, could verify their presence, four (4) additional hours after patient leaves the room, were provided for physicians to verify their presence and enter their charges if they were unable to document it immediately after the procedure.  If physicians do not document their presence within the 4 hours allotted time, they will receive a pop-up, below:

THE FOUR (4) ADDITIONAL HOURS TO VERIFY YOUR PRESENCE, IN THE OR, HAVE EXPIRED! 

You must send an email requesting approval to code and bill to; officeofbillingcompliance@med.miami.edu, with an explanation of the exceptional circumstances to justify why you were unable to verify your presence, immediately after the procedure or within the allotted additional four (4) hours.

Physicians will need to personally dictate their presence in the Operative Report.
